Protecting Prior Month Information

In the GMS Accounting Software there is an option to prevent editing, creating, or deleting of any transaction for a prior period that has been processed through Month End Processing.

Once a month has been “closed” and the financial reports reviewed and/or approved, you may want to prevent any type of changes to this financial information, especially if the month end financials has been used to generate external reports to funding sources or any governing boards.

This option can be found Under Tools\User Set Up.   At the user setup screen, you will see a tab called Month End Period.  If you are the person responsible for making the decision that a particular month end was final and no changes should be made you can do the following.

  • Click on the Month End Tab
  • Click Edit
  • Choose the posting period from the drop-down box for the month-end posting date for which no changes should be made to the financial information.
  • Click Save

For example, if the Posting Period 03/31/2023 is chosen the software will prevent users from creating, editing, or deleting any batch with a posting period of 03/31/2023 or earlier.

GMS strongly suggests that access to this feature be limited to users who are responsible for the financial processing and reporting.     If changes needed to be made to a prior period only the users that have access to this option would be able to change the posting period to an earlier posting period.   Note:  If a change were to be made to access a prior posting period and changes made to the prior posting period, GMS recommends reprocessing each month end.

  • Stay Active: Regular exercise is important for your physical and mental health. Try to incorporate physical activity into your daily routine, whether it’s taking a walk during your lunch break or joining a gym near your workplace.

Taking care of your wellness is essential for your overall health and happiness. By prioritizing sleep, hydration, breaks, nutrition, stress management, and physical activity, you can feel your best and perform your best at work.

Introducing our Client Resource Page

GMS is pleased to introduce the Client Resource webpage. We have been working diligently to bring you a better online experience This new platform has been designed to provide our clients with quick and easy access to a wealth of information and resources that will help to better understand our GMS Software.
In addition to providing helpful information and resources, our Client Resource Page will be regularly updated. The How-to Training Videos currently available are: ‘Preparing your Bank Reconciliation in GMS’ and ‘Payroll Adjustments.’ The training video content will be updated monthly, as referenced in the January E-News release.

Additional library  resources will be added soon. It will include Report Writer Structures and Queries and GMS checklists. The Client Recourse page is located under GMS University menu.
